Mission

Keep every pilot project organized and moving—from homeowner intake and site documentation through engineering, submissions, scheduling, inspections, and final closeout.

Responsibilities

  • Maintain an accurate status tracker for every homeowner and project.
  • Assemble project and regulatory submission packages with engineers, homeowners, contractors, and outside specialists.
  • Submit applications, monitor reviews, respond to routine information requests, and route technical questions to the appropriate licensed professional.
  • Coordinate site visits, surveys, evaluations, construction schedules, inspections, and homeowner communications.
  • Confirm that required approvals and documents are in place before field work begins.
  • Organize plans, correspondence, photographs, receipts, inspection records, and completion documents.
  • Provide clear status updates to homeowners and internal team members.
  • Identify recurring bottlenecks and recommend practical process improvements without compromising compliance.

Ideal background

A highly organized project coordinator with experience in permitting, construction administration, land development, environmental programs, utilities, or residential services. The right person is calm under pressure, persistent with follow-up, and comfortable working across homeowners, technical professionals, field crews, and government offices.

Must-haves

  • Strong project coordination, document management, and follow-through skills.
  • Experience managing applications, permits, compliance records, or similarly detailed workflows.
  • Excellent written and verbal communication.
  • Confidence working with multiple deadlines, stakeholders, and project stages.
  • Proficiency with spreadsheets, cloud documents, calendars, and project-tracking tools.
  • Ability to handle homeowner and project information with discretion.
  • Ability to travel locally for occasional site or agency visits.

Nice-to-haves

  • Familiarity with Hawaiʻi wastewater, building, planning, or environmental review processes.
  • Experience with the Hawaiʻi Department of Health Wastewater Branch IWS process.
  • Construction administration or civil-engineering office experience.
  • Existing knowledge of Hawaiʻi Island agencies, consultants, and service providers.
  • Experience supporting grant-funded, public-interest, or community-infrastructure programs.
  • Familiarity with CRM or construction project-management systems.

What success looks like in the first 90 days

  • Creates a reliable view of every pilot project’s status, next action, owner, and deadline.
  • Advances the first submission packages with complete, well-organized documentation.
  • Establishes responsive communication routines with homeowners, engineers, field teams, and agencies.
  • Prevents field scheduling before required approvals and prerequisites are confirmed.
  • Reduces avoidable delays by catching missing information and coordination needs early.
